Colleague: How to Access, View, and Export/Create a PDF of a Student's Transcript

Student Transcript (TRAN) is the form that displays a student’s transcript. Transfer credits from other institutions that have been evaluated at PGCC will appear at the top. The transcript also includes academic standing, GPA and the program of study (major) for every semester. This transcript can be downloaded, printed or emailed in PDF format. This is a view only form. Note: This serves as an unofficial transcript.

This knowledge article demonstrates how to access, view and export/create a PDF of a student’s transcript using the TRAN form.


Step 1

After logging into Colleague Production and agreeing to the Disclosure of Information, click the Form Search icon, if necessary then type TRAN and press Enter or click Search.

Type the ellipsis (…) in the Trans Grouping Lookup field then press Enter.

Step 3

The Search Results for Transcript Groupings will display.  Select the type of transcript then click Open.

Click the Previous Page button.

Step 5

Set the both the Use Grouping Ptr and Verify Prt Restrs fields to N.

Step 6

Enter your Colleague ID in the Recipient field. Note: If you leave this field blank then the transcript will be addressed to the student for which it is printed.

Type the student’s Colleague ID number whose transcripts you want to print then press Enter.  Note:  You can enter multiple students by typing their Colleague ID numbers then pressing Enter or you can use a Saved List.

Click the Previous Page button.

Select H Hold/Browse File Output from the Output Device drop-down list and then click Save.

Click Update.

Click Finish or select the Close automatically when complete check box and then click Finish.  Note:  This check box will automatically close the dialog once Colleague has completed the report.

Step 16

The Report Browser will display.  Choose one of the options below:

  1. Next Page button to view the next page;
  2. Save As to download the file;
  3. Export PDF to create a PDF (Best Practice); or
  4. The X to close the panel.

Step 17

Click Export PDF.  Make any changes you wish to the font type and size, orientation, and paper size then click Create PDF.

Click Download. The PDF will open in a new tab. Return to Report Browser by clicking the appropriate tab then click Close to complete the process.

Click the X to close the panel.
