Colleague: How to Access and View a Student's Profile

Student Profile (SPRO) is the primary form for viewing information for a student (i.e. name, ID, mailing address, phone, email, academic program, and restrictions).  Faculty should ensure that all of the student’s contact information is correct.  If not, please send the student to Admissions and Records to update it. This is a view only form.

This knowledge article demonstrates how to access the SPRO form and view student information.


Step 1

After logging into Colleague Production and agreeing to the Disclosure of Information, click the Form Search icon, if necessary then type SPRO and press Enter or click Search.

Step 2

Type name, ID number or SSN of student then click OK.  Best practice: Use a partial name lookup.  For example, owllink, bar.

Step 3

If there are multiple records, select the desired record by double-clicking the row or clicking the row then clicking Open.

The record will display in the Context Area.

Verify that the student is in the correct active program by checking the Academic Program and Status fields (see screenshot below).  If the student’s program of study needs to be changed/corrected, faculty will initiate a Change of Curriculum (paper) form that should be routed through their department chair.

Step 4

If multiple programs exist, it will show which is active.  To view the multiple programs, click the the Next Page arrow to navigate through the programs.  If the student has more than one active program, ask which one should be active.  Note: A student can be active in an associate degree program and a certificate program at the same time.
