Microsoft Outlook: How to Sync Emails and Calendars

Microsoft Outlook automatically syncs emails and calendar appointments when using the desktop client. At times, this sync may not occur frequently enough to receive the most recent emails and appointments. Other times, the sync may not occur at all. The "Send/Receive Groups" feature can be helpful to not only receive the most recent data, but also to send emails that may have been delayed in conveying from your account to another.

Step 1

Click the "Send/Receive" tab at the top of your MS Outlook client window.

Be sure that your MS Outlook client is currently working online. If it is working offline, you will see the "Work Offline" option grayed-out within the "Send/Receive" drop-down menu and there will be a "Working Offline" message at the bottom right corner of the client window. If either of these is present, click the "Work Offline" option to bring your MS Outlook client online. 

Step 3

Click "Send/Receive All Folders" from within the "Send/Receive" drop-down menu. This will begin the process of syncing your emails and calendar appointments to the MS Outlook desktop client. Once it has completed, you will see the message "This folder is up to date" at the bottom right corner of the client window. 

 

Note: If you are still not able to see expected emails or calendar appointments after completing these steps, try restarting your computer and then trying the listed steps again. It is also advisable to visit Outlook on the web by visiting "pgcc.edu" and clicking "Employee Email". The web version should always contain the most up-to-date accurate view of your Outlook data.
