Microsoft Teams: How to install Teams and how to schedule Teams Meeting in Outlook

Microsoft Teams provides the capability for Prince Georges Community College users to create and join meetings in real time. Participants in a Teams meeting can invite external users to join, who aren't authenticated to the College network. Users who are employed by external partners with a secure and authenticated identity can join meetings and, if promoted to do so, can act as presenters. Extending participation to external users can introduce security risks. The step-by- step procedure below shows how to install Microsoft Teams and how to use Microsoft Outlook to schedule Teams meeting.

Step 1

Installation file is available at P:\Apps\Install\Teams

Step 2

Click Run

The image below should appear for Installation

Step 4

Type in your pgcc email address 

 

Step 5

Login with your college email and password

Step 6

Accept default image and Click OK

Step 7

Click Done to finish Microsoft Teams Installation

How to Schedule Teams meeting in Microsoft Outlook

You can schedule Teams Meeting from Microsoft OutlookThe Teams Outlook add-in allows people to view, accept, or enter meetings from Teams, or Outlook.

To schedule meeting in Outlook, Microsoft Teams must be installed first as described above. Then you must login to pgcc microsoft outlook.

Next, Click Calendar icon on the left hand pane of outlook

 

Next, click on New Teams Meeting in calendar view 

Next, Add the people that you want to include in the meeting to the To... field. If you want a bunch of people to join the meeting at once, you can invite entire contact groups.

Add your meeting subject, as well as location, start time, and end time, then click Send to inform your team. 

 

You can also invite people outside the college email system to a Teams Meeting from Outlook. For example, you can invite people with email addresses such as hotmail, yahoo etc. to your Teams meeting. Just type the email address in the To... box and click Send.
